How to Export the Sales Summary Report from CourtReserve for QuickBooks

INTRODUCTION

Feature Summary: The Sales Summary Report provides a way to export paid transaction data from CourtReserve into Excel, organized by Revenue Category.

When configured with the appropriate filters the report displays only completed transactions and groups revenue into the categories defined by your organization. Once the report is generated, admins can export the results to Excel for use outside the platform, such as Quickbooks.

Use Cases

  • Export revenue data for QuickBooks entry: Admins can export revenue totals by category and use the Excel file to record financial activity in QuickBooks.

  • Track revenue by category: Because the report groups transactions by Revenue Category, organizations can better understand where revenue is coming from (e.g., court fees, events, memberships, etc.).

  • Share financial data with accounting teams: The exported Excel file can be shared with bookkeepers or accounting professionals who manage financial reporting outside of CourtReserve.


PREREQUISITES

Revenue Categories must be set up in advance so transactions are properly grouped when the report is generated.


OVERVIEW

Navigate to TRANSACTIONS > SALES SUMMARY.

Apply the following filters:

  • Preset Filter can be blank.

  • Leave all date fields blank except for the Payment Date fields. Set the Payment Date range based on the timeframe you want to report on.

  • Set the Fee Status filter to Paid.

  • Set the Output Type to Revenue Categories.

  • After applying these settings, click Run Report.

  • Once the report has populated, select Export to Excel to download the file.
