Manage a Player's Membership Plan

INTRODUCTION

Feature Summary: The Member - Membership tab gives system users a complete view of a member's current membership plan, billing details, and membership payment history — all in one place. From this page, admins can update membership pricing, adjust billing dates, change or upgrade a membership type, suspend or cancel a membership, and record membership fee payments.

Use Cases:

  • View the membership plan assigned to a member, including high level, key plan settings such as booking windows, court costs, and cancellation rules.

  • Update a member's membership price or next billing date.

  • Change or pre-purchase a new membership type on behalf of a member.

  • Suspend a membership temporarily without cancelling it.

  • Cancel a membership and set a specific end date.

  • Review billing cycle history, including payment amounts, frequencies, and confirmed payment dates.

SETUP REQUIREMENTS

Open a member profile (MEMBERS > SEARCH) and click the Membership tab. The page has three sections: Billing Details, Member Details, and Billing Cycle.


Billing Details

The Billing Details section of a member's Membership tab gives system users control over a member's billing and membership status. From here, you can update membership pricing, adjust billing dates, change or upgrade a membership type, and manage the membership lifecycle — including suspending or cancelling access when needed. The actions available in this section directly affect what the member can access, so changes should be reviewed carefully before confirming.

  • Edit Membership Price- Click the pencil icon to update the membership price for this member. This updates the price for any future generated billing cycles.

  • Next Billing Date - Displays the member's next scheduled billing date. Click the pencil icon to adjust the date and review the corresponding membership plan price.

  • Ending on - If the assigned membership type has a fixed end date, it will be displayed here. The End Date is a fixed, hard end date that determines when the membership will end. For most memberships, this is blank, allowing memberships to continue indefinitely based on billing or renewal settings. For more details on how membership end dates work, see the article here.

  • Change / Pre-Purchase Membership - Use this option to update a member's membership type. Select the desired membership from the dropdown — available options will display the membership name along with any associated pricing (e.g., $45/month, $500/year).

    • If the membership has an associated fee, you will be prompted to complete the following fields before assigning:

      • Payment Frequency — Select how often the member will be billed, such as Monthly or Annually.

      • Membership Start Date — The date the new membership becomes active. Defaults to today's date but can be adjusted.

      • Next Payment Date — The date the first payment will be generated.

      • Create Billing Cycle between Start Date and Next Payment Date — Check this box to automatically generate a billing cycle for the period between the Membership Start Date and the Next Payment Date.

      • Once all fields are completed, click Assign Membership to apply the change.

      • Note: To confirm the next scheduled membership payment date and amount, scroll down to the Billing Cycles section at the bottom of this page.

  • Suspend Membership - Use this option to temporarily pause a membership without cancelling it. The membership status will change to Suspended and the member will lose access to membership benefits until reactivated. To reactivate, open the member's Membership page and select Reactivate Membership.

  • Cancel Membership - Use this option to cancel a member's membership. Cancelling removes the member's access to club facilities and member portal privileges. This action does not delete the member's account — it only terminates their current membership.

    • Cancels On — The date you would like the membership to end. Note that the membership remains active through 11:59 p.m. on the day before the date entered. For example, if you enter April 1, the membership will remain active through March 31 at 11:59 p.m.

    • Once the cancellation is confirmed, the membership status on the member's profile will update to Canceled.

    • Note: If a membership listed has an Ending on date — meaning a Membership End Date was set in the membership type's general settings — the edit pencil will not be available. To adjust the end date, use the Cancel Membership button and set the Cancels On date to the date you would like the membership to end, if different from the original end date.

  • Generate Billing Cycles: If the member's plan has an associated fee and does not have a future cancellation date, a Generate Billing Cycles button will be available.

    By default, CourtReserve automatically posts membership dues to a member's account on a set schedule. The timing is controlled by the X Days Before Billing Date to Generate Next Billing Cycle setting in the membership type — for example, if this is set to 5, dues will be posted to the member's account 5 days before the next billing date. If needed, system users can also manually generate a billing cycle ahead of schedule — for example, if a member wants to pay future dues in advance.

    After clicking Generate Billing Cycles, a window will display confirming the following:

    • Plan — The name of the member's current membership plan.

    • Membership Price — The price associated with the plan and billing frequency (e.g., $45.00/month).

    • Number of Billing Cycles to Generate — Enter the number of future billing cycles you would like to post to the member's account. Defaults to 1.

    • Once completed, click Save to post the billing cycle to the member's account.


Member Details

This section shows the membership plan assigned to the member and highlights key plan settings at a glance, including advance booking windows, weekly and daily court reservation limits, cancellation policies, and court pricing by type. Select View All Details to navigate to the full membership type settings page.


Billing Cycles

The Billing Cycles section at the bottom of a member's Membership tab displays a history of all billing activity associated with their membership. For each cycle, the table shows the membership name, billing period, frequency, amount, and the date payment was confirmed.

Click the member's Billing tab to get individual payment information.
