Email or Text Waivers from the Admin Panel

New: Text Messaging Option for Waiver Signing

INTRODUCTION

Feature Summary: Manage and collect missing waivers at check-in by sending signing links via email or text, or by adding members to an on-site signing queue. This ensures all required waivers are completed before participation while giving staff flexible options to capture signatures.

With the addition of text messaging, staff can now reach players more quickly and reliably—helping reduce delays and improve completion rates, especially for players who may not check email right away.


Manual Waiver Administration

If the front desk staff performs a manual check-in and a player is missing a waiver, CourtReserve displays a red icon indicating that a waiver needs to be signed.

Tip: Utilize the Who’s Here Today screen or the to quickly identify players with missing waivers. You can also use the info icon > View Players option from the scheduler.

The front desk staff clicks the icon, and a popup displays signing options:

  • Allow Signing from Email: Sends the member an email with a link to the signing page.

  • Allow Signing from Text Message: Sends the member a text message with a link to sign.

  • If both options are selected, the member will receive both an email and a text message.

  • If only one option is selected, the member will receive that method of notification.

  • When Push to Signing Queue is clicked, if neither option is selected, the member will not be notified but will still be added to the CourtReserve signing queue (detailed below).

Note: If an email address or phone number is not already on file, the admin can manually enter it on this screen before sending.

Once the waiver has been sent or pushed to the signing queue, the icon for the member displays as orange.

Once the member completes the waiver, the icon will no longer appear, indicating the requirement has been fulfilled. If the player has an account with your organization, view the completed waivers on their Member profile > Waivers tab.


Front Desk Signing Queue Option

If the front desk staff selects Push to Signing Queue without a notification option selected, CourtReserve moves the signature request to the signing queue. Staff can use a front desk tablet, open the signing queue link (available in the Waivers & Agreements icon > Additional Settings tab), and tap the Sign button so the member can complete the waiver on-site.
