INTRODUCTION

Feature Summary: The Member Audit Log provides a detailed, read-only history of actions taken by or related to a specific member in CourtReserve. This log helps system users track changes to member profiles, payment profiles, and other member-related activity for transparency, troubleshooting, and recordkeeping.

The Member Audit Log can be accessed directly from an individual member’s profile using the Audit Log button, or by filtering the main Audit Log to the Member entity type.

Use Cases: The Member Audit Log is useful when you need to:

  • Review changes made to a member’s profile information

  • Identify who updated or edited a member record

  • Track payment profile changes

  • Audit membership-related updates or status changes

  • Investigate support issues or member disputes

  • Provide accountability and transparency for administrative actions

OVERVIEW

There are two ways to view member audit activity:

Option 1: From a Member Profile (recommended)

  1. Navigate to the member’s profile.

  2. Click the Audit Log button.

  3. The Audit Log opens pre-filtered to show activity related to that member only.

This is the fastest way to review actions for a specific individual.

Option 2: From the Main Audit Log

  1. Go to Audits > Audit Log from the side panel menu.

  2. Select the Entity Type of Member.

  3. Use available filters (date range, action type, etc.) to narrow results.

  4. Click Run Report.

  5. Use the Name column to filter results for a specific member, if needed.

Understanding the Audit Log

Each row in the Member Audit Log represents a recorded action. The columns provide the following details:

  • Action Type - Indicates what kind of action occurred (for example, Create, Edit).

  • Entity Type - Identifies the type of record affected, such as Member, Attendance, or Payment Profile.

  • Action By - Indicates who performed the action. This may be a system user (A), an automated system update, or the member themselves (M), depending on the action.

  • Created On - Displays the date and time when the action occurred.

  • Name - Lists the member associated with the action.

  • Description - Provides detailed context about what changed, such as updated profile fields, payment method details (last four digits only), or member-related updates such as member custom field updates or family updates.

At the top of the Audit Log, system users can filter results by Entity Type, with Member selected by default. The search field can also be used to quickly locate specific records or keywords within the audit entries.

Why the Member Audit Log Is Useful

The Member Audit Log plays an important role in system transparency and operational support by:

  • Creating an audit trail for member-related actions

  • Helping admins understand what changed, when, and by whom

  • Supporting internal reviews, compliance needs, and dispute resolution

  • Reducing guesswork when troubleshooting member account issues

The log is informational only and cannot be edited, ensuring the integrity of historical records.
