INTRODUCTION

Feature Summary: The Message History tab provides system users with a centralized view of all communication sent to a member and any assigned family members. This includes bulk messages and recent system notifications, making it easier to track outreach, troubleshoot delivery issues, and understand what communication a member (or their family) has received.

Use Cases: The Message History tab is useful when you need to:

  • Confirm whether a member received a specific message or notification

  • Review recent communication sent to a member or their family

  • Troubleshoot failed or undelivered texts or emails

  • Provide better support by understanding prior outreach

  • Quickly reference bulk communications sent to a household

OVERVIEW

Open a member profile (MEMBERS > SEARCH) and click the Message History tab.

The Message History tab displays all bulk communications sent to a member, along with system notifications from the past 30 days. If the member is part of a family, messages sent to other family members are also included.

Bulk communications remain visible beyond 30 days, while system notifications are automatically removed after the 30-day retention period.

Bulk communications are messages sent by the club using CourtReserve’s Bulk Email, Text, or Push tools, such as monthly newsletters, promotional alerts, or closure notifications.

System notifications are automatically generated, individual messages—such as event registration confirmations, cancellation notices, or purchase receipts.

Each row in the Message History grid represents a single message and includes:

  • Message – The name of the notification or subject of the message sent (for example, Event Registration Confirmation or Summer Newsletter).

  • Recipient – The member who received the message.

  • Email – The email address the message was sent to or email on file for the member who received the text or push notification.

  • Processed On – The date and time the message was processed by the system.

  • Email Sent – Indicates whether an email was sent.

  • Type – Identifies whether the message is a Notification or Bulk communication.

  • Push Sent – Indicates whether a push notification was sent.

  • Text Sent – Indicates whether a text message was sent.

  • Phone Number – The phone number used for text or push messages.

  • Text Status – Displays the delivery status of the text message, when applicable.

Admins can click Details on any row to open the full message details. Depending on the message type, this opens either the notification details or the bulk communication details page for that specific message.


Using Filters to Find Messages

The Filter tool helps system users quickly narrow down message history to find specific communications. Filters can be used to isolate messages by delivery status, message type, date range, or notification category, making it easier to troubleshoot issues or review targeted outreach.

Using filters is especially helpful when:

  • Investigating failed or undelivered text messages

  • Confirming whether a specific notification was sent

  • Reviewing bulk messages sent within a certain time period

  • Auditing communication related to reservations, events, lessons, or billing

By applying one or more filters, admins can focus on only the most relevant messages instead of scanning the full message list.


ADMIN PERSPECTIVE

If a system user clicks Details next to a bulk email, they are taken to the Sent Email page, where they can view the full details of the message that was sent. An example is shown below.

If a bulk text is sent, clicking Details takes the user to the Text History screen, where they can view the message details.

If a system user clicks Details next to a System Notification, they are taken to the notification details view, where they can review the specific information sent to the member, as shown in the example below.
