INTRODUCTION
Feature Summary: Item variations in Point of Sale (POS) allow you to create multiple versions of a product based on attributes such as size, type, or configuration. Each variation is treated as a unique product with its own name and optional differences in unit cost, retail price, stock quantity, and UPC/SKU.
For example, a shirt may have Small, Medium, and Large variations, or a tennis string may be available in multiple gauges. Variations inherit the same product image as the original item, helping maintain a consistent appearance in the POS catalog while still allowing inventory and pricing differences.
Using variations helps streamline product management and ensures accurate inventory tracking for each option.
Use Cases:
Apparel Sizes: Create variations for clothing items such as Small, Medium, Large, or XL, each with its own stock quantity.
Different Equipment Options: Set up variations for items like pickleball paddles or strings that come in multiple models or gauges.
Price Differences by Variation: Offer different pricing for variations, such as premium materials or upgraded versions of a product.
Inventory Tracking: Track stock levels separately for each variation, ensuring accurate inventory counts and alerts when quantities run low.
Retail Packaging Options: Create variations for products sold in different formats, such as single balls, 3-packs, or bulk packs.
A variation is a unique product that is similar to the original (e.g. large, medium, and small size). It has a different name, and optionally different cost, price, and SKU. Variations on the POS use the same image (if uploaded) as the original.
PREREQUISITES
System users must know how to set up and update POS items.
SETUP REQUIREMENTS
Log in to the admin dashboard.
Go to the side menu and click POINT OF SALE.
Click ITEMS -> ITEM LIST.
On the next page, locate an item in the table and click the Add Variation button.
Enter the following fields. Name is the only required field.
Name: Enter the name of the variation (e.g., Large, Medium, Small). This identifies the specific version of the product.
Manufacturer: Select the product’s manufacturer from the dropdown list, if applicable.
Gauge: Choose the gauge or specification for the item if relevant (commonly used for items like tennis strings).
Unit Cost: Enter the cost to your organization for this variation. This is used for internal inventory and margin tracking.
Retail Price: Enter the price that customers will pay for this variation in the POS.
Stock On-Hand: Enter the current inventory quantity available for this variation.
Stock On-Hand Alert: Set a minimum inventory threshold. When stock reaches this number, the system will alert you that it is running low.
UPC: Enter the product’s Universal Product Code (barcode).
Remember to click Save Changes in the bottom right.
In the Items List table, you can expand the item to view its variations.
Once an item is sold, the stock on hand for the corresponding variation is automatically adjusted.
Item sales by variation can be tracked using the Item Sales Report.
ADMIN PERSPECTIVE
The variation options are shown in the drop down and in the shopping cart.
USER PERSPECTIVE
The player will see variation information on their receipt.
