INTRODUCTION

  • Feature Summary: Create a report that summarizes event participant data.

  • Use Cases: Track event engagement for any time period. Enable filters to generate reports for event sessions, categories, and tags.

SETUP REQUIREMENTS

Click REPORTS > EVENTS > REGISTRANT SUMMARY. A new page displays.

Use the Event Session(s) field to focus the report on one or more event sessions. Manually set the start and end dates of the reservation period or event period (date and time icons). Optionally, click the field to select pre-built periods (e.g. Current Year).

Enable filters to screen events for event categories, and tags. Optionally, check the box to group events by session.

Viewing the report

When the system user adds or removes filters, CourtReserve automatically updates the report table at the bottom of the page. Click the Export button to save the table as an .xlsx file.

To filter table data, click the filter icon, select an operator (e.g. is equal to), and enter a value. To change the sort order, go to a column heading and change the direction of the arrow. Click the Export button to save the table as an .xlsx file.

The report shows data for the following columns:

  • Category - Each active Event Category will be listed in this report.

  • Full Registration - The number of registrations recorded during the specific period. Full registrations are events where members have one registration fee to register into all event dates.

  • Unique Full - The number of members who registered for one or more Full events during the specific time period. If one member registered for two events, that would count as 2 in the Full Registration column and 1 in the Unique Full column.

  • DropIns - The number of registrations recorded during the specific period. Drop-In registrations are events where members have a registration fee for each event date they register into.

  • Unique DropIns - The number of members who registered for one or more Drop-In events during the specific time period. If one member registered for two events, that would count as 2 in the DropIns column and 1 in the Unique DropIns column.

  • DropIn Waits - The number of members waitlisted into Drop-In events.

  • Full Waits - The number of members waitlisted into Full events.

Saving a report

Click the Save Report button to keep the report on the platform. Enter a report name and select a Visibility option. Private means only the user who created the report can see the report. Shared means users with report access can view this document.

To view previously saved reports, click the Saved Reports button. Users with access can click the Load button to view a report.
